Coding open-ended responses means turning free text into comparable categories. An experienced market researcher can do this by hand. The problem appears at scale — 5,000 responses per study, multiple waves per year, teams of 3-4 analysts — and consistency between coders starts to degrade. The industry has gone through three phases:
Filter non-analyzable responses ("don't know", "n/a", spam, bots), detect language, normalize characters, identify cut-off or duplicate responses. Skip this step and everything downstream is contaminated.
Apply the codebook to each response. For ambiguous responses or those touching multiple themes, assign multiple codes with consistent criteria. For doubtful responses, flag them explicitly for review — don't force a code.
